SALES ORDER PROCESSOR & CUSTOMER SERVICE ADVISOR/ADMIN

 

 

Scope of Job: 

To undertake your job with diligence ensuring work is completed to the highest standard possible within agreed timelines.  Input customers purchase orders correctly on a daily basis.  Answering incoming sales office calls. 

Specific Accountabilities

  • Answer incoming phone calls within 3 rings in a professional manner
  • Input all orders accurately on a daily basis ensuring correct deliver date, correct price and discount in-line with standard operating procedures
  • Fax or email approvals to customer upon request, following up approval requests weekly
  • Dealing and resolving customers queries by telephone, fax, post and email
  • Highlight all loading errors, transport issues and manufacture errors to the relevant person and record order ‘notes’
  • Be aware of stock issues or late deliveries and advise customers accordingly
  • Establish and maintain effective, professional, working relationships with co-workers, supervisors and customers
  • Maintain a tidy, organised and safe work area
  • Be familiar with the six components of the Collaborative Way and actively demonstrate these values within the workplace

  • Ensure you work as a team member such that you have an effective and close working relationship with other teams, departments and sites within the Keystone Group
  • Demonstrate a team focused approach to work by working closely with your colleagues and by providing support where required
  • Demonstrate your effectiveness in listening, time management and communication
  • Highlight to your line manager any training requirements you have which would enable you to undertake your job safely, efficiently and effectively
  • Ensure that all necessary resources, tools and equipment are available to have you do your job and ensure these tools and equipment are cared for and maintained

 

Company Policies and Procedures including Health & Safety

  • Ensure that you comply with Health and Safety procedures and company guidelines in all aspects of your work
  • Be familiar with company policies, these can all be found in the company handbook

 

KPI (Key Performance Indicators) Reporting

  • You must be familiar with your personal KPI’s, by when these should be delivered and what you need to do to consistently deliver your KPI’s
  • Where required, you must provide feedback and updates to your line manager on your performance against KPI’s
  • Where required to do so, you must ensure that checklists/reports are completed accurately and returned within the agreed timeframe to your line manager
  • At each monthly review meeting with your line manager, undertake the necessary preparation regarding planned objectives/goals for the month ahead and have feedback ready for the objectives/goals you undertook last month
